Store purchase evidence in a form that remains readable after the paper receipt fades and accessible if the phone itself is lost. A single organised device record is more useful than photographs scattered through the same handset.
Save the transaction at the time of purchase
- Download the invoice or order confirmation.
- Photograph both sides of a thermal-paper receipt.
- Save the listing, promised condition and included items.
- Record the seller’s legal name and contact details.
- Keep card or bank evidence without exposing unnecessary account information.
Link the evidence to the exact phone
Record the model, storage, serial and IMEI privately. For a business or family with several devices, use a simple filename or register that connects each invoice, repair and warranty document to one device.

Keep an independent backup
Store the record in a secure cloud account, computer backup or physical file that does not rely solely on the phone being documented. Protect sensitive identifiers and do not publish a full IMEI in an advert.
If the receipt is lost
Ask the retailer for a duplicate, search email and account history, and retain bank or card evidence. GOV.UK notes that a business can ask for proof of purchase, but that evidence can include a bank statement or packaging rather than only a receipt.
Protect personal information
Invoices can contain home addresses, phone numbers and payment details. Store them securely and redact unnecessary information when showing proof to a private buyer. Send full documents only through a verified warranty, insurer or dispute process.
Document gifts and second-hand purchases
If the phone was a gift, keep the giver’s order evidence and any gift receipt permitted by the retailer. For a private purchase, create a bill of sale recording the date, parties, model, IMEI, price and stated condition. This does not replace technical checks, but it improves the evidence trail.
Set a retention rule
Keep purchase and repair documents throughout ownership and for a sensible period after sale, especially while a marketplace dispute, warranty or insurance claim remains possible. Delete copies securely when they are no longer needed.
