Questions to put to the supplier

  • Who owns each phone and when does ownership transfer?
  • Is device finance separate from airtime?
  • What happens when a line is cancelled or an employee leaves?
  • Which support period applies to the exact model?
  • How are faults, accidental damage and replacement handled?
  • Can the fleet size increase or decrease without restarting every term?
  • What is the total price including VAT and mandatory charges?

Prepare devices before handover

  1. Record the asset, serial and IMEI.
  2. Install updates and enrol management.
  3. Apply passcode, biometric, app and account policy.
  4. Give the employee a written acceptable-use and loss-reporting process.
  5. Confirm what private use is allowed and what monitoring occurs.
  6. Test offboarding and remote-lock capability.

Do not overlook employee privacy

A company-issued phone is easier to manage, but the organisation should still explain what information it collects, which activity can be monitored and how personal use is handled. Avoid creating an informal arrangement that staff believe is private while the device is fully managed.

Tax treatment depends on the arrangement

HMRC currently states that an employer normally does not need to report or pay tax and National Insurance where it provides one mobile phone or SIM to an employee and the contract is between employer and supplier. Reimbursing an employee's own contract can be treated differently. Recheck the actual arrangement with payroll or tax advisers.
